Administrative Assistant

Part time position 21 hours /week
$23 per hour

Uzima Women Relief Group International is a Charitable organization incorporated in Ontario with a mandate to support families and communities affected by poverty, war and disease domestically and internationally. Uzima conducts many projects for women, seniors, and youth within marginalized communities in Toronto in partnership with other agencies.

Position Summary:
Uzima Women Relief Group International is seeking a detail-oriented and organized Administrative Assistant to support daily office operations and ensure efficient administrative coordination. The successful candidate will assist with scheduling, documentation, communication, and administrative tasks that support the organization’s programs and community initiatives.

Required Skills
• Minimum Diploma/Certificate in office administration or business administration and
human resources, a degree preferrable
• Minimum one-year previous administrative experience or experience working in an office setting
• Exceptional organizational, verbal and written communication, interpersonal skills as well as analytical and problem-solving skills
• Excellent at planning and monitoring administrative systems
• Exceptional ability to pay attention to detail and a team player
• Proficient in MS Office (latest versions of Word, Excel, Outlook) and Google Workplace with a typing speed of over 80 words per minute
• Excellent social media platforms and digital applications
• Well-versed in departmental procedures and policies and able to actively discover new ways to do the job more efficiently
• Good accounting skills
• Bilingual (English and French) an asset
• G Driver’s License and vehicle an asset

Key Responsibilities
• Provide administrative support to the management team and program staff.
• Manage office communications including emails, phone calls, and correspondence.
• Schedule meetings, appointments, and maintain calendars for staff and leadership.
• Prepare and maintain documents, reports, and records.
• Assist with organizing community events, workshops, and meetings.
• Maintaining office supplies inventory and coordinate procurement when necessary.
• Support data entry, filing, and document management systems.
• Assist in preparing presentations, newsletters, and internal communications.
• Coordinate with volunteers, staff members, and community partners.
• Maintain confidentiality of organizational and client information.

Preferred Skills
• Experience working with community organizations or nonprofits.
• Familiarity with event coordination and volunteer management.
• Knowledge of document management and administrative systems.

Board Positions

Uzima Women Relief Group International (Uzima) is looking for Board of Directors. A variety of skills, interests, and experience are useful in furthering Uzima’s mission, but nominees should ideally have administrative and fiscal oversight. We would also benefit from individuals with Financial management and Legal experience. As a not -for-profit organization, we seek diverse voices in working to improve the organization. We are therefore looking for board members from the cooperate sector to help raise our fundraising efforts for sustainability. Currently, Uzima relies on restricted funding mainly from the government and foundations. Unrestricted funding will be a stable source of funds for core operational functioning at Uzima.

As a board member you will be expected to attend quarterly board meetings. Uzima works with strict policies on anti-discrimination and anti-oppression. As a board member you will observe these policies and help other members, staff and volunteers to adhere to them. Uzima would like to stress further that commitment to the board duties, constitution and by-laws is a requirement. Because Uzima is still evolving, the board is both a working board and a governance board. Board members are therefore expected to help with activities such as administration, accounting and fundraising. The following is a summary of the responsibilities of the board:

• Attend all board and committee meetings, functions and be prepared to participate.
• Stay informed about board and committee matters, review and comment on minutes and reports.
• Stay informed about the organization’s mission, services, policies, and programs.
• Follow developments in the community, economy, government, etc. that may grow the organization.
• Serve on committees and offer to take on special assignments.
• Make a personal financial contribution to the organization (usually in Annual membership fees)
• Participate in organizational fundraising.
• Publicize Uzima through your networks and support Uzima on social media.

Fundraising Coordinator

12 months contract, part time (21 hours per week, 3 days)
$25 per hour

Uzima Women Relief Group International is a Charitable organization incorporated in Ontario with a mandate to support families and communities affected by poverty, war and disease domestically and internationally thus contributing to the global efforts to relieve poverty. Uzima conducts many projects for women, seniors, and youth within marginalized communities in Toronto in partnership with other agencies. Fundraising is the main source of income for the organization to finance its projects and reach its mission and objectives. Uzima is therefore looking for an experienced fundraising coordinator to strengthen its fundraising activities and raise more funds.

POSITION SUMMARY:
The fundraising coordinator will be supervised by the Finance Manager and Executive Director. This is a part-time, one-year contract position. The successful candidate will be an experienced fundraising coordinator, able to effectively multi-task on multiple assignments, and will manage a wide variety of fundraising options.

Job Duties & Responsibilities
• Work with Finance Manager in planning and administering the annual fundraising budget.
• Planning, developing and executing direct online and mail campaigns.
• Identifying and soliciting major gift prospects.
• Developing and managing efforts to identify, solicit, communicate, track and renew annual donors.
• Identifying sources and preparing proposals to government, corporations, foundations and private granting agencies.
• Planning, management and execution of all fundraising events including development and solicitation of corporate sponsorship and coordination of logistics
• Implementation of staff fundraising initiatives within Uzima with support from partners
• Development and distribution of collateral material such as Annual Report and ENewsletters
• Other duties as assigned

Skills & Qualifications
• University degree in Commerce, Business administration, or related degree with excellent accounting knowledge
• Minimum 2 years’ experience in the non-profit sector or in a similar role in any other establishment
• Demonstrated success and ability to plan and execute a fundraising campaigns or marketing events
• Excellent grant writing skills, evidence of success
• Ability to create and manage fundraising or marketing budgets
• Knowledge of online and direct mail campaigns
• Strong organizational communication, and time management skills
• Highly organized, computer, digital and social media proficiency
• Results oriented
• Bilingual in English and French an asset
• G Driver’s License and ownership of a vehicle an asset
• Willingness to learn new skills

Women Project Coordinator

Summary
The Women Project Coordinator is the primary point-person responsible for planning, executing, and delivering projects that relate to black and racialized women within Toronto and the GTA. The person should be creative with ideas on how to work effectively with women on projects.

Requirements
• Post-Secondary Education in Project Coordination/Management, Business Management or related field. Degree an asset
• Minimum 2 years of direct work experience in project coordination/management in a Canadian nonprofit organization.
• Demonstrated success in project delivery and execution of project management methods.
• Intuitive grasp of organizational structure to manage cross-departmental and cross-disciplinary resource allocation.
• Superb creation and facilitation of meetings, feedback sessions, and briefings to create consensus among stakeholders.
• Able to effectively communicate with all types of staff, including technical, professional, and senior management.
• Strong knowledge of financial management, technology management, and internal controls.
• Strong knowledge of Internet technologies, including MS office suites and social media handles
• Strong problem identification and problem resolution skills.
• Ability to create and edit project documents, materials, and presentations.
• Able to effectively communicate both verbally and in writing.
• Flexibility to adjust to shifting priorities and deadlines.

Your primary responsibilities will include:
• Develop work plans for project activities, outputs, and outcomes

• Conduct virtual and in-person workshops to educate participants
• Purchase and distribute supplies to participants in need
• Conduct basic accounting for the projects
• Maintain and grow active WhatsApp support groups for participants
• Collaborate with community groups and agencies for ongoing information sharing and expanded systems-level advocacy
• Process surveys and analyze survey results
• Support the creation of partnership agreements with community agencies
• Research, compile, and provide information to Uzima staff to assist in planning programs
• Other tasks as assigned depending on needs of the organization
